NetSuite AI Setup

Put AI to Work On Your NetSuite Data

We set up the NetSuite AI Connector safely, then build the copilots, custom tools, and automations the native connector can't. Start with governed questions in your own Claude or ChatGPT and grow from there.

AI can now read and act on your live NetSuite data. Oracle ships the NetSuite AI Connector, a Model Context Protocol (MCP) service that lets tools like Claude and ChatGPT query and update NetSuite, all governed by your role-based security. Standing up the connection is the easy part. Doing it safely, and going beyond the standard tools that ship out of the box, is where most teams get stuck.

That is what we set up. We scope the connector to a safe read-only role, load a curated library of prompts and saved searches so the answers are accurate, and then build the custom tools, copilots, and automations that turn a chat assistant into a working part of your finance operation.

Some of that AI is already sitting in your account. NetSuite ships Bill Capture for AP, Text Enhance for writing, SuiteAnalytics Assistant for natural-language reporting, and Exception Management for anomalies. A good setup turns on what you already license first, then adds Claude or ChatGPT for the questions and actions that reach across records or outside NetSuite. The custom pieces are an extension of our NetSuite customization and development work.

Native connector vs SSG

The AI Connector is a great start. It is not the finish line.

Oracle's connector is genuinely useful, and we will happily set it up for you. Here is what it does on its own, and what we add on top.

What the NetSuite AI Connector does

The native connector, built on MCP, is real and worth using.

  • Standard tools for SuiteQL, saved searches, and reports
  • Reads and, with the right role, writes records
  • Governed by NetSuite role-based security
  • Works inside a chat you start, in Claude or ChatGPT

What SSG adds on top

The parts that make it safe, accurate, and always on.

  • A safe, role-scoped setup so a CFO can say yes
  • A curated prompt and saved-search library for accurate answers
  • Custom MCP tools beyond the standard set
  • Agents and automations that run on triggers, not just in a chat
  • Team governance, audit, and managed operations

Maturity ladder

Five rungs, one clear path

Start where you are comfortable and climb as trust grows. Each rung adds capability, and governance grows right alongside it.

  1. 1

    Ask

A governed, read-only assistant answers questions from live NetSuite data inside your own Claude or ChatGPT workspace.

  2. 2

    Assist

Role copilots for AR, AP, inventory, and sales ops, plus scheduled digests like a daily AR-aging summary in your inbox.

  3. 3

    Act

AI drafts records for you to approve. Sales orders, bill coding, and customer updates flow back into NetSuite behind human approval gates.

  4. 4

    Automate

Hands-off processes: AP document capture with NetSuite Bill Capture, reconciliation assists, and anomaly alerts via Exception Management that surface only what needs a human.

  5. 5

    Operate

We run it as a managed service, with monitoring, governance, and a new use case delivered each quarter.

Governance first

Built to be safe to point at your ERP

Connecting an AI to your financials is a governance decision before it is a technical one. We set it up so the answer is yes.

Read-only to start, by design

The connector can write, but we scope it to a read-only role until you choose to enable writes. Read-only is a deliberate choice, not an accident.

Your workspace, not ours

It runs in your own Claude Team or ChatGPT Business or Enterprise account, with training on your data turned off. Your books never sit in a consumer chatbot.

Role-scoped access

A dedicated non-admin NetSuite role limits the assistant to the records and subsidiaries you approve. The connector inherits your security, so scoping it well is the job.

Curated prompt library

We ship vetted prompts and saved searches so answers are accurate and repeatable, not guesswork.

Full audit trail

Every query, and every approved write at the higher tiers, is logged so you always know what the AI did and when.

NetSuite BPO partner expertise

We know your data model. The assistant is wired to how NetSuite actually stores things, from SuiteQL to saved searches.

Packages

Three ways to start

The Ask and Act prices are one-time setup fees, and a starting point. Each package bundles one or more rungs of the ladder above, and every engagement is scoped to your NetSuite account and use cases.

Is it safe to connect AI to NetSuite?

It can be, and safety is the whole point of how we set it up. Three things make the difference.

First, we start read-only. The connector is capable of writing to NetSuite, so we scope it to a dedicated, non-admin role that can only read until you decide to enable specific writes. Nothing changes in your account without a step you turn on deliberately.

Second, it runs in your workspace, not ours. The assistant lives in your own Claude or ChatGPT business account, where training on your data is off. Your conversation history, including anything it pulls from NetSuite, stays inside that workspace under your own retention and access controls, and SSG never holds a copy.

Third, everything is governed and logged. The connector inherits NetSuite role-based security, so it can only see what the role allows. We add a curated prompt library for accurate answers, a full audit trail, and a sandbox-first process for any write-back or automation. As a NetSuite BPO partner, we know how your data is structured, so the setup fits the way NetSuite actually works.

FAQ

NetSuite AI FAQs

What is the NetSuite AI Connector, and what is MCP?

The NetSuite AI Connector is Oracle's service for connecting external AI tools to NetSuite. It is built on the Model Context Protocol (MCP), an open standard that lets an AI assistant securely call a defined set of tools, such as running a SuiteQL query, a saved search, or a report. It is governed by NetSuite's role-based security, so the assistant can only do what its role allows.

What does SSG set up that the native connector does not?

The native connector ships standard tools and works inside a chat you start. We add a safe role-scoped setup, a curated prompt and saved-search library for accurate answers, custom MCP tools beyond the standard set, and agents and automations that run on triggers rather than only when you open a chat. At the top tier we run and govern the whole thing for you.

Will our financial data be used to train an AI model?

No. On a business or enterprise plan, your data is not used to train the model. We set the connector up inside your own Claude or ChatGPT workspace, where the conversation history stays under your own retention and access controls, and SSG never holds a copy.

How does this relate to NetSuite's built-in AI like Bill Capture and SuiteAnalytics Assistant?

NetSuite already ships AI inside the product: Bill Capture for AP, Text Enhance for writing, SuiteAnalytics Assistant for natural-language reporting, and Exception Management for anomalies. Part of our setup is turning on what you already license. The AI Connector with Claude or ChatGPT adds a layer for questions and actions that reach across records or outside NetSuite, and the N/llm SuiteScript module lets us build AI directly into your NetSuite processes where that is the better home.

Is it safe to connect AI to NetSuite?

Yes, when it is scoped correctly. We start with a read-only, non-admin role, run it in your own workspace, keep a full audit trail, and use a sandbox-first process for any write-back. The connector inherits your NetSuite role-based security, so it only ever sees what you approve.

Can the AI actually change data in NetSuite?

Only if you choose to allow it. The Ask tier is read-only. At the Act tier we enable approval-gated write-back on selected records, so a person reviews and approves before anything is written. The Automate tier adds trusted, monitored automations.

Should we use Claude or ChatGPT?

Both are supported through the NetSuite AI Connector. Claude has mature, native MCP support across web, desktop, and mobile on Pro, Team, and Enterprise plans, and ChatGPT Business now connects as well. We will help you pick based on the plans your team already uses.

Do we need our own AI subscription?

Yes. The assistant should run in your own business or enterprise AI workspace so your data stays governed and is never used for training. We help you choose and configure the right plan as part of setup.

How fast can we go live?

The Ask tier is typically live in days, not months. Higher tiers depend on the custom tools and automations you want, which we scope on a short discovery call.
